Guidelines

 

  • 1. How do I login?

If you have registered to attend the event you will have received an activation email on the email address you submitted during registration. Once you click on Activate, you will immediately be taken to the login page and will be required to complete the onboarding process. Upon completion you will be able to sign in to the virtual venue.

 

  • 2. How do I complete my profile if I have skipped some steps during the onboarding?

If you decided to skip some part of the onboarding process, the option to complete your profile will be found under the ‘My Profile’ Section. Once you are in the event lobby, check the top right corner of your screen, where you will see an icon depicting a person. Simply click on it to enter the ‘My Profile’ Section. Under your picture you will have the option to edit your profile.

 

  • 3. How do I save a resource to view later?

When you are interested in a particular resource - be it an exhibitor brochure or presentation slides, as long as the owner of these resources has made them available you will be able to save them by clicking on the briefcase icon. This automatically saves them to your ‘Swag bag’ for later viewing.

 

  • 4. How do I view my saved resources?

You can find all of your saved resources under the ‘My Profile’ Section. First enter the lobby. In the top right corner of the screen you will see the search icon. Next to it is your profile button. Click to enter and you will be taken to the ‘My Profile’ Section. Under the ‘Swag bag’ section, you will see all of the resources you have saved during your attendance. From here you can view, delete, download or send resources via email.

 

  • 5. Can I view all resources related to the event?

When you enter the lobby you will see the ‘Resources’ button. Simply click it and you will be taken to the resource center.

Alternatively, check the navigation bar at the top of your screen. There you will be able to see all the different sections of the event you are attending. On the right side you will see the ‘Resources’ button. Upon clicking, you will be taken to the resource center.

Once you are in you can search/filter resources via keywords and categories. You will have to either view or add a resource to your ‘Swag bag’. You can view, download, send or delete resources from your saved resources tab under ‘My profile’. To learn more about how to navigate that section check question number 4. 

 

  • 6. How do I enter a conference session?

Once you have logged on to the platform you have a few options:  

Easiest way into a conference section is from the bottom of your lobby screen - the ongoing sessions will be visible in the bottom left corner of your screen.

Your second option is to enter the conference section via the ‘Conference’ button in the lobby. Simply click on the button and all the conference halls will become visible.

On top of your screen, under the navigation bar you will see the ‘Program’ and ‘Speakers’ buttons - there you will find the interactive agenda and speaker information, respectively. Here you have two options:

6.1. Click on the program button to bring up the agenda of the event and simply choose a session of your interest to enter it.

6.2. From the main conference section you will be able to see the different conference halls. Choose the hall which you would like to enter and you will be taken to the stage. Click to watch and you will see the speaker profile, abstract and the stage-specific agenda.

 

  • 7. How do I enter the Exhibition area?

To enter the Exhibition area you have two options:

7.1. Go to the lobby and click on the ‘Exhibition’ button and you will directly enter the hall.

7.2. Go to the navigation bar on top of your screen. There you will be able to view the different sections of the event you are attending. Simply click on the ‘Exhibition’ button to enter the hall directly.

 

  • 8. Can I book a meeting with an exhibitor?

To book a meeting you must first enter the exhibition section of the event. If you are unsure how to do this refer to question number 7. Once you are in, choose an exhibitor which is of interest. Click on their booth to enter.

You will see a few options in the bottom of the booth. Click on ‘Schedule a virtual meeting’ to view the representatives of this exhibitor. Once you have found the person you would like to meet with, click on their calendar which will be on the right. This will bring out a calendar, where you will see your and the representative’s combined availability. Book your slot and await confirmation from the exhibitor, within your ‘Messages’ inbox.

 

  • 9. Is my communication private?

We value your privacy, therefore all communication on the platform is encrypted. This means that your messages and video calls are completely private. TheVirtual.Show, the event organizers & the exhibitors cannot view the content of your communication on the platform.

 

  • 10. How does networking work?

Networking is one of the strongest aspects of TheVirtual.Show platform, so we have made it as close to a real-life experience as possible. The simplest way to network on the platform is by entering the ‘Networking' Section and choosing one of the options ‘Search & Connect’ or ‘Networking Lounge’. These are available to you at all times during the event. You have the following options:

10.1. To enter ‘Networking' Section simly click on the ‘Networking’ button available both in the lobby and in the navigation bar on the top of your screen.

10.2. By choosing ‘Search & Connect’ you will be able to search and filter all attendees, based on a range of criteria including names, job titles, organizations or areas of interests.

10.3. The ‘Networking lounge’ allows you to see info about the persons in the lounge at the moment. You can call and make a quick video chat to a picked person. You will have 5 minutes to talk and after that you can decide if you want to become contacts.

 

  • 11. Is it possible to attend a conference session and network at once?

Yes. To do this you simply open a second tab on your browser and enter the event link. As you are already logged into the platform you will automatically enter the lobby. On one tab enter the conference session you would like to attend, while on the second tab you can enter the networking lounge.

 

  • 12. Is it possible to attend a conference session and walk around the expo at once?

The short answer is yes. To do this you have to open a second tab on your browser and enter the event via the link you have been provided with. On one tab you can have the conference session running, in the second tab you can explore the exhibition. If you are unsure how to enter either section of the event refer to question 6 and question 7, respectively. 

 

  • 13. How can I ask a specific question directed towards a specific speaker during live sessions?

To do this enter the conference session. If you are unsure how to do so, please refer to question 6. Once you have begun attending a session you will be able to ask a question via the Q&A tab, located under the content screen. Select who to direct your question to from the dropdown menu, or leave it at the default option to ask all speakers.

Alternatively, you may use the 'Ask a question' button within the navigation bar.

You can expect an answer to your question either on air or later in an email.

 

  • 14. How can I ask a specific question directed towards a specific speaker on a video on demand ?

For the ‘On-demand’ stage you will need to use the ‘Ask a question’ on top of your screen within the navigation bar. Simply click on the button and fill out the relevant information in the fields, then click submit.

You can expect an answer to your question either on air or later in an email.

 

  • 15. How can I ask a specific question directed towards a specific poster presenter?  

For the ‘Poster session’ stage you will need to use the ‘Ask a question’ button on top of your screen within the navigation bar. Simply click on the button and fill out the relevant information in the fields, then click submit.

 

  • 16. I did not have enough time to view all sessions, nor view all resources. Would I be able to view these after the event has ended?

The entire virtual venue will be accessible for 30 days after the event. If you would like to view sessions - please visit the relevant conference hall. If you would like to utilize the networking functionalities, the networking zone is available. In addition to that, if you would like to access the resources, you may still do so through the ‘Resources’ functionality.
